Private TuitionHow do lessons work? An Evergreen Music teaching ‘season’ is generally a 10 week block of weekly lessons. To cater for the large number of school age students we teach, these teaching ‘seasons’ coincide with the NSW Public school calendar. Private lessons can be booked as either 30mins or 60mins in length, subject to timetable availability. Students are enrolled on a per term basis, with automated debit payments made weekly. Lessons times are confirmed prior to commencement of each teaching season. Students are automatically re-enrolled in the following teaching term. To change enrolments, see further information below. Cancellation / Rescheduling Policy - Students A minimum of 48 hours notice is required if a student would like to reschedule a lesson. Lessons requiring rescheduling must be notified by emailing info@evergreenmusic.com.au, calling (02) 7227 6994, or directly via the Student Portal (My Music Staff). Advising the tutor directly is not accepted. Make-up lessons must be taken within the same teaching term and will not carry over to the following term. It is the responsibility of the student (family) to arrange for their make up lessons. A make-up lesson can be transferred to another family member learning at Evergreen. Make-up lessons will be with a students regular teacher (if possible) or another member of our Evergreen teaching team. If less than 48 hours notice is given, the lesson is deemed to be forfeited. If physically getting to the studios is the reason for the absence, Evergreen is able to convert this lesson to an online (Zoom) lesson (at the same scheduled time) allowing students to still have a learning experience remotely. Students who simply do not turn up for a booked lesson with no notice, are deemed to have forfeited that lesson and will be charged. Tutors have set aside time for students, and short/no notice regarding cancellations would otherwise result in a loss of income for the tutor as well as preventing another student from potentially having a music lesson. General Illness:​ If your child has not been well enough to attend school, it is likely that they should not be attending our studios for lessons. We understand the inconvenience of being unwell / having a child that is unwell, and are happy to convert a lesson to an online (Zoom) lesson (at the same scheduled time) so your child is able to have their lesson from the comfort of their home. Planned Absence: . Pre-planned, extended leave (of at least 2 consecutive weeks or more absence), requires at least 2 weeks written notice prior to the commencement of the absence for us to pause your registration for the period that you are away. If advanced notice is not provided, the makeup policy for missed classes will apply. Advising your tutor is not sufficient and will not be accepted. Missed/Cancelled lessons – Tutor If your tutor is unable to make a scheduled lesson at any stage, Evergreen Music will arrange for a substitute tutor to take lessons or alternatively arrange for a make-up lesson within the term. If a lesson is unexpectedly cancelled due to an extraordinary circumstance (eg teacher illness), a credit for the missed lesson will be applied against the following week's payment.

Group and Ensemble Sessions @ Evergreen StudiosHow do classes work? Confirmation of enrolment is based on availability of places per group class. Evergreen Music may terminate running a class if minimum numbers are not reached at the commencement of a term. Classes and rehearsals are not held on Public Holidays. Any lessons which fall at these times will not be included in term fees. Students are automatically enrolled from one term to the next unless appropriate notice period provided (see below). Group Based programs – enrolment is for a minimum of one (1) full teaching season Missed Sessions Lessons missed by student due to illness, holidays etc are considered forfeited, with no credit/refund offered. If a tutor is unable to attend rehearsal/tutorial (eg due to illness), Evergreen Music will aim to provide a substitute tutor. If the session is cancelled due to an extraordinary circumstance, a credit for the missed lesson will be applied against the following week's payment.

GeneralPrivacy Evergreen Music values and is committed to each family’s rights to privacy. Some personal information may be asked on enrolment and via online enquiry. This is for internal use only and is at your discretion to provide. Evergreen Music will not share this information to third parties. Evergreen Music is registered as an Employer under the NSW Working with Children guidelines and ensure that all our tutors comply with the check. Evergreen Music actively encourages the use of different education mediums (including written, electronic and multimedia). Evergreen Music uses the internet and social media forums to promote, share and build their music community. Video/Audio recordings – A valuable tool to use not only to record student performances at concerts, but also record homework/practice material. Photos – On occasion, we may take photographs of students participating in lessons or at performances. These images may be used educational and promotional material (written, electronic or multimedia). Photographic, Video and Audio recordings will not be published where written notification has been received.

Enrolment in Mixed Ensembles / Group ClassesHow to enrol? School Based Group Classes / Mixed Ensemble: Head to our 'school program' website page where you will find the booking link for your child's school. Complete the enrolment form and once payment has been processed, you are enrolled! Please note that you will need to complete a separate enrolment form for each child you are wishing to enrol. Mixed Ensemble - Enrolment is for a minimum of 1 school year. Group Classes - Enrolment is for a minimum of 1 school term. When do classes run? Group Classes and Mixed Ensemble rehearsals will run on a set day (as agreed with the school) with minimal disruption to school classes. These will run weekly during the school term. Please check the details on the school page of our website for the details. There are no group classes or Mixed Ensemble rehearsals on Public Holidays or Pupil Free days.

Supervision Please note Evergreen Music is unable to provide supervision of students outside of their allocated music session / mixed ensemble rehearsal time.

Fees & PaymentFee Processing Tuition fees are billed on a weekly basis via automatic debit Evergreen Music processes payment for music lessons through our student portal (My Music Staff) which uses the secure payment gateway Stripe. Once you have logged into the Student portal and updated your profile with the nominated card for payment, your account will be enabled for auto payments. Card information is securely stored and encrypted with only the last 4 digits and expiry visible. The first lesson will be processed at the time of booking. All following payments will be processed on a weekly basis for the duration of the teaching Season / Term. A teaching season is generally 9 or 10 weeks. Weekly payments will be processed on the commencement of the teaching week (Sunday). The amount debited reflects the number of classes prebooked for the week, including any adjustment for classes not running (eg public holiday or teacher cancellation). Lessons are not held on Public Holidays. Any lessons which fall on a public holiday will not be charged. You will be able to access all paid invoices and update your preferred payment method at any time via the Student portal. Parents/students will be advised of any changes to tuition rates with at least 1 month’s notice. Students may be required to purchase additional music resources (theory/practical books) as advised by their tutor.

Cancelling EnrollmentCancelling Enrolment Students enrolled for private lessons, group classes and mixed ensembles are automatically re-enrolled in the following teaching term/year. If you need to cancel your child’s enrolment, Evergreen Music requires a minimum 2 weeks notification via email. Verbal notification through your tutor is not accepted.
